Personal Data Protection Policy
Valuence International Singapore Pte. Ltd. (hereinafter referred to as the “Company”) handles a significant amount of personal data in the course of its business operations. We recognize the importance of protecting personal data and regard it as one of our key responsibilities. Accordingly, the Company has established the following Personal Data Protection Policy and is committed to making every effort to handle and protect personal data appropriately.
1. Definition
The Company defines “personal data” as any data that meets all of the following conditions:
- relates directly or indirectly to a living individual;
- enables the identity of that individual to be directly or indirectly ascertained; and
- exists in a form in which access to or processing of the data is practicable.
2. Types of Personal Data Handled
The Company may handle the following types of personal data:
Customer Information
Name, date of birth, gender, address, telephone number, email address, company name, etc.
Information Relating to Inquiries on Goods and Services
Name, date of birth, gender, address, telephone number, email address, company name, etc.
Information of Recruitment Applicants
Name, date of birth, gender, address, telephone number, email address, recruitment assessment results, etc.
Information of Current or Former Employees
Name, date of birth, gender, address, telephone number, email address, recruitment assessment results, performance ratings, employment information, etc.
3. Purposes of Use of Personal Data
The Company uses customers’ personal data only to the extent necessary for the conduct of its business operations. If the Company intends to use personal data for any purpose other than those listed below, it will specify the purpose in each case and obtain the customer’s prior consent.
Personal data may be used for the following purposes:
- to handle customer inquiries, provide after-sales services, and carry out procedures related to transactions;
- to provide information, including direct marketing materials, regarding the services, goods, plans, and programs of the Company, the Company’s group companies, and affiliated companies;
- to provide information relating to the Company’s business activities, including questionnaires, campaigns, and similar initiatives;
- to assess the feasibility of transactions, manage transaction status, conduct credit management, and handle claims;
- to appraise goods and verify customer identity;
- to prevent fraudulent or unfair transactions;
- to conduct marketing research and analysis;
- to prepare statistical data for management analysis and use the results of such analysis;
- to improve operational accuracy and maintain or enhance the quality of service provided by employees or operators when dealing with customers by telephone or in person;
- to evaluate and process job applications;
- to manage human resources and business communications; and
- to manage matters relating to retired employees in accordance with applicable laws and regulations, and to contact them where necessary for social gatherings or similar purposes.
4. Use of Personal Data for Direct Marketing
The Company may use customers’ personal data for direct marketing purposes, subject to the customer’s prior consent.
In particular, the Company may use certain personal data, such as name and address, to contact customers by means such as email regarding the Company’s goods, services, and campaigns. If you no longer wish for the Company to use your personal data for marketing purposes, please contact the Personal Information Executive Office listed in Section 10 below.
In addition, the Company may disclose certain personal data, such as name and address, to its group company, Valuence Japan Inc., which provides similar goods and services, to enable that company to market its goods and services to you. This will only be done with your prior consent. If you no longer wish for the Company to provide your personal data for such marketing purposes, please contact the Personal Information Executive Office listed in Section 10 below.
5. Collection, Use, and Disclosure of Personal Data
The Company will collect personal data only to the extent necessary to achieve the stated purposes of use, and will strive to ensure that such data remains accurate and up to date.
The Company will not collect personal data in a manner that may infringe the rights or interests of individuals. In addition, the Company will not use, disclose, or provide personal data to any third party beyond the scope of the customer’s consent.
Please note that the Company may transfer your personal data to its group company, Valuence Japan Inc., for the purposes stated in Section 3 above.
6. Security Measures for Personal Data
The Company will continuously develop and strengthen its security measures, including information security safeguards, in order to ensure the accuracy and security of personal data.
The Company will make every effort to prevent and remedy leakage, loss, destruction, or damage of personal data, as well as to prevent unauthorized access to such data.
7. Outsourcing of Personal Data Processing
The Company may outsource all or part of the handling of customers’ personal data where necessary to achieve the stated purposes of use.
In such cases, the Company will select service providers that meet its personal data protection standards and will continue to supervise them through regular reviews and other appropriate measures.
8. Continuous Improvement of the Personal Data Management System
The Company will regularly review this Policy, establish and update internal rules and procedures, provide training to employees, and conduct appropriate internal audits in response to developments in information technology and changes in society.
Through these efforts, the Company will continue to improve its systems and practices for the proper handling of personal data.
9. Requests Relating to Personal Data
Where the Company receives a request from a customer regarding notification of the purpose of use, disclosure, correction, addition, deletion, suspension of use, erasure, or suspension of disclosure to third parties of the customer’s personal data, the Company will respect the customer’s rights and respond in good faith.
The Company also maintains an inquiry desk to handle requests relating to personal data disclosure and related matters. Please note that the Company may charge an administrative fee for processing certain requests, such as requests for disclosure or notification of the purpose of use.
